PDF to CSV

Accountants, bookkeepers, and database administrators frequently need to import PDF bank statements, fee schedules, or inventory manifests into software like QuickBooks, Xero, or custom databases. Converting those locked documents into standardized CSV files eliminates manual copy-pasting. This browser-based tool uses pdf.js to extract tabular rows locally, keeping private client figures and company accounts entirely on your desk computer.

How to convert PDF to CSV

  1. Add your PDF statement, catalog, or tariff schedule into the conversion area.
  2. Select your preferred separator: comma, semicolon for European software, or tab.
  3. Adjust optional settings like adding a UTF-8 BOM or setting specific page ranges.
  4. Press Convert to CSV to download your data file formatted for your accounting software.

Grid extraction, baseline detection, and column structuring

Office documents stored as PDF files do not contain native table markup or cell coordinates. The extraction system scans the digital text layer using pdf.js to identify items on identical baseline heights, grouping them into consecutive rows. Text elements separated by roughly a word space are united into a single field, while broader horizontal distances mark the beginning of subsequent columns. Standalone elements like section headers or memo notes are directed into the first column.

Lines containing several cells establish horizontal column bands across the page. Overlapping horizontal bands merge automatically, so differing numeral lengths in financial columns settle into consistent columns. The output combines all selected pages into a single CSV file, with an optional blank row separating each page. Any cell whose text wraps across two lines in the PDF generates two distinct rows in the CSV file, and rotated text along margins is excluded.

Regional delimiters, character encoding, and unadulterated values

Different accounting packages and regional office computers require specific file delimiters. You can choose a standard comma, a semicolon for European locales where commas serve as decimal marks, or a tab delimiter. For office staff using Windows versions of Microsoft Excel, enabling the optional UTF-8 BOM ensures that foreign currency signs, names, and accented letters display without character distortion. Values are enclosed in quotation marks only when they contain delimiters, quotes, line breaks, or margin spaces, conforming to RFC 4180 rules.

Unlike spreadsheet tools that attempt to reformat cell values, this CSV converter preserves textual entries exactly as printed in the PDF without rounding figures or stripping currency signs. This exact retention makes it dependable for auditing, tax preparation, and inventory audits. Scanned paperwork lacking a digital text layer will return an error and must first be processed through OCR PDF, while password-secured files must be decrypted with Unlock PDF before extraction.

Questions

Can I import the generated CSV file directly into accounting software?

Yes. The resulting CSV follows RFC 4180 standards and can be imported into accounting systems, databases, and spreadsheet applications.

Which delimiter should I choose for European accounting software?

Select the semicolon option if your office computer uses a decimal comma, which prevents Excel from misinterpreting numbers.

Will converting confidential vendor pricing upload my records to the web?

No. All extraction takes place locally inside your browser with pdf.js, ensuring your pricing records remain confidential on your device.

Why did some wrapped lines in my statement appear on two rows?

Because the tool groups text by baseline, any cell text that wraps onto two lines in the PDF becomes two separate rows in the output.
