Edit PDF metadata

Documents exported from office word processors often carry hidden metadata revealing computer login names, previous template titles, or software versions. This tool lets you set a professional Title, Author, Subject, and Keywords while purging technical tracking tags before submitting proposals to clients. All edits happen locally in your browser, keeping commercial data secure.

How to use the Edit PDF Metadata

  1. Add your PDF contracts, proposals, or invoices to review their document properties.
  2. Enter the official Title, Author organisation, Subject, and comma-separated Keywords.
  3. Tick “Remove all other metadata” to wipe hidden timestamps, software producers, and XMP packets.
  4. Press Save to download the cleaned, professional document ready for distribution.

Polishing proposals and client deliverables

When clients open a PDF in their web browser or viewer, the window header prominently displays the embedded Title property. If a proposal was cloned from an old template, the client may see an embarrassing header like “Proposal_Client_B_Draft2” or an internal employee login name. Updating the Title and Author fields guarantees that external stakeholders see polished, intentional document properties.

Fields left blank retain their original values unless you choose to strip extra data. For multi-author corporate bids or public tenders, assigning a clean corporate Author name and relevant descriptive Keywords ensures your paperwork integrates seamlessly into enterprise archiving systems and client portals.

Scrubbing technical audit trails and software data

Standard office software embeds extensive operational metadata when exporting PDFs, including the exact software version, operating system details, creation timestamps, and modification history stored in XMP packets. In competitive bidding or legal exchanges, releasing these background details can reveal internal timelines or staffing structures.

Activating “Remove all other metadata” deletes the creator application, producer tag, file history dates, and custom metadata entries, preserving only the specific fields you explicitly entered. The underlying page contents, charts, and inked seals remain untouched, ensuring total document integrity.

Understanding metadata scope and document security

Because metadata edits only adjust the internal info dictionary and metadata streams, the file structure remains clean with zero recompression of graphics or text. The visual layout and print fidelity of your agreements are completely unaffected.

Remember that metadata editing does not change the visible text rendered on the pages themselves, nor does it clear annotations or change the file name saved on your hard drive. If a contract draft contains sensitive margin notes or on-page figures that should not be shared, redact or delete those pages before cleaning the metadata.

Questions

Why should I wipe additional metadata before emailing contracts?

Clearing extra metadata removes internal usernames, software versions, and creation timestamps that clients or competitors should not see.

Can I leave certain metadata fields unchanged?

Yes. Any field you leave blank retains its existing information, provided you do not activate the option to remove all other metadata.

Will editing metadata alter the text or layout of my document?

No. The visual page content is untouched. Only the background document description entries are modified.

How do I handle a PDF that requires a password?

If a document requires an open password, unlock it with Unlock PDF first before updating its metadata properties.
